Get credit for new parts by creating deals and associating orders with them in HubSpot

To get credit for new part commissions, it must meet the following criteria:

  • Part is considered “new” – part number was not sold to that specific customer in 2023, 2024, YTD 2025
  • Order must exceed $3K
  • Customer is not on the Corporate Account list
  • If the order doesn’t meet the criteria above, you still get credit through the budget attainment incentive

*GMs will approve the dashboard prior to the payout.


If a deal exists for the opportunity you wish to track, follow these (linked) instructions to associate an order to an existing deal. Otherwise, follow the instructions outlined below.

Associate an Order to a New Deal

Step 1: Locate the ERP Order Record

Begin by locating the ERP Order related to the new part.

Search for the company record in HubSpot with the Site ID appended (e.g., Alcon Research, Ltd. - HPS). Identify the ERP Order and open the record.

There are several ways to find an ERP Order in HubSpot. Below are the different pieces of information that will allow you to find the correct record in HubSpot. Use advanced filters to enter parameters to filter for the order.

 
  • Order ID/Sales Order Number
  • Customer PO Reference Number
  • Amount + Customer Name
To add a filter in HubSpot, you can do the following:
  1. Click Advanced filters
  2. Click +Add filter
  3. Select the property you want to filter by
  4. Set criteria for the property
  5. Click Apply filter

Step 2: Create Deal

Open the ERP Order record and select the +Add button in the Deals association card (located on the right-hand side of the ERP Order record. 

You will be given the option to create a new deal or add to an existing deal, make sure to select the "Create new" tab.

This is where you can enter all the essential information for the deal. Once you have completed filling out the mandatory fields, you will be able to select the Create button to complete the process of creating the deal.

Step 3: Verify your deal

Below is a representation of what your deal should resemble. It is important to confirm that the deal stage is set to Closed won, you are designated as the deal owner, and that the correct ERP Order record is associated.
